Privacy Training & Resources

Selkirk College's approach to privacy is to ensure the responsible use of information and the safeguarding of human dignity while optimizing the beneficial use of data for decision-making.

As part of privacy training, all employees are required to complete the FOIPPA Foundations: Privacy and Access Fundamentals course. This basic course provides a high-level understanding of British Columbia's Freedom of Information and Protection of Privacy Act (FOIPPA).

Please set aside approximately one hour to complete the modules. Upon completion, please forward your certificates to HR@selkirk.ca.

Privacy Impact Assessments

A privacy impact assessment (PIA) is an in-depth review of any new or significantly revised initiative, project, activity or program to ensure compliance with the provisions of FIPPA, identify and mitigate risks and ensure it appropriately protects the privacy of individuals.

Selkirk College will conduct PIAs to ensure that all collection, use, disclosure, protection and processing of personal information complies with FIPPA. Not completing one may result in non-compliance with provincial legislation, Selkirk College policies and standards, and other legal and regulatory requirements.

When Do I Complete a PIA?

The development of any new initiatives or software programs at Selkirk College that collect or use personal information requires a PIA. A PIA is also required when significant changes are made to existing programs or initiatives.

An “initiative” includes an enactment, system, project, program or activity of the college.

What Is a PIA?

A PIA has two parts:

  1. General Information: All new initiatives within the college complete this section, regardless of whether personal information is collected.
  2. Collection, Use and Disclosure: If personal information is collected, this section must be completed to ensure the collected elements are necessary and all privacy risks are identified and mitigated.

The PIA must be completed and signed off by Selkirk College’s privacy officer before the launch of a new or changing initiative or software program.

What Is Personal Information?

Personal information is any information that can be used to identify an individual, including but not limited to names, birth dates, student ID numbers, email and mailing addresses.

Who Completes a PIA?

The department requesting the system, software, initiative or program is responsible for drafting a PIA with the assistance of the privacy officer.

Technology-based initiatives may also require the involvement of IT Services to ensure the college can accommodate the new initiative. Procurement may need to be contacted to assist with purchasing and to review any contracts.

Please be ready to share:

  • The type of personal information collected
  • How personal information is collected
  • Where the personal information is being stored (Canada or United States)
  • How personal information is used
  • The persons or entities with whom the personal information is being shared
  • The safeguards in place to ensure the protection of personal information
  • Privacy risks and mitigation strategies
