Event Services
The event services coordinator will help book space, design a set-up plan, coordinate with our Maintenance Department and assist with IT needs. All events, extracurricular and other special bookings should flow through Event Services to ensure that there are no conflicts with other happenings around campus.
To begin the process of booking events, extracurricular activities and other special bookings, please fill out an Event Inquiry Form. Once you have completed the form, the Event Services Coordinator will contact you to discuss the next steps.
Please note that the Event Inquiry Form should be submitted at least two weeks prior to your event. However, the more notice you can provide, the better we will be able to assist you.
Catering
For all bookings, including catering pick-up orders, please complete the Event Inquiry Form. Once you have completed the form, our event coordinator will contact you with next steps.

Frequently Asked Questions
Should all events go through the Event Inquiry Form on the website?
- Yes! Requests for events, extra-curricular and one-off bookings should be made through the Event Inquiry Form.
My event does not require any additional services other than booking a space. Do I still need to fill out the Event Inquiry Form?
- If an internal group would like to book a general classroom or laboratory during open hours, and the booking does not require set up or IT services, then they are welcome to book the room through our RoomBook system and send the Event Services Coordinator an email update. For all bookings requiring the use of the Staff Lounge, the Pit, the Cafeteria, the Gymnasium, Mary Hall, the Mir Centre or other non-classroom spaces, please fill out an Event Inquiry Form or contact the Event Services Coordinator.
My department has historically planned events without the help of the Event Services Coordinator. Do I need to involve Event Services in my event this year?
- The role of the Event Services Coordinator is to book space, help design a set-up plan and coordinate IT needs. We encourage you to involve the Event Services Coordinator in those aspects of planning your event. At the very least, please inform the Event Services Coordinator of your event, so it is on our radar.
