Resignations & Retirements

Process for initiating a resignation or retirement

If you are a supervisor, or an employee ready to resign or retire, please also familiarize yourself with the process below and your role within it.

Process for initiating a resignation or retirement

1.  Notify your supervisor: When you are ready to retire or resign, notify your supervisor of your intention. While you may start this conversation in person, you should make sure to follow up with an email to both your supervisor and the Executive Director of Human Resources. In your email, state whether this is a resignation or a retirement, and the intended date of your last day worked.

2.  Make a plan: Discuss with your supervisor and Senior HR Technician to establish details of your exit plan. Details to consider:

With your Senior HR Technician:

  • Determine if any loans or balances need to be repaid prior to leaving the college (e.g., relocation fees, computer loans, etc.).
  • If applicable, discuss the option to convert life insurance policy from group to individual.

With your Supervisor:

  • The last day worked.
  • Any outstanding vacation/banked time and a plan to use it.
  • Any balances owing to the college and a repayment plan.
  • Any equipment the employee will need to return to the college.

3. Complete paperwork: Your Supervisor will complete the appropriate paperwork and submit to HR. The paperwork must indicate:

  • The last day worked.
  • Your remaining vacation balance and/or banked time and make a plan to use it prior to your last day worked at the college. If you are a retiring PPWC member, discuss how you would like to treat your accrued sick pay-out (40% unused sick leave, which can be used as a retiring allowance or paid directly through payroll).
  • Any loans or balances need to be repaid prior to leaving the college (e.g., relocation fees, computer loans, etc.).
  • Any equipment the employee will need to return to the college.

5. Final steps:

  • Return equipment: on or prior to last day worked, you must return any equipment, such as keys, computer, cell phone, credit card, etc. Return these items to your supervisor.
  • Complete an exit survey: Some of the most valuable information about the college can come from departing employees. We have created voluntary confidential exit interviews to help us continuously improve, adjust and enhance our practices. HR will send you a link to an electronic exit survey prior to your last day. Please take the time to complete the survey. If you would like to have an in-person exit interview, please let HR know.
